SUMMARY

Performs secretarial duties directly related to Medicaid billing process for the Department of Special Education. Works directly with Post High Lead Teacher on Special Assignment and maintains contact with District Conesite Coordinators, Special Education Associate Director and Special Education Director.  Detailed data entry and Medicaid program administration is a primary focus of this job.

 

 ESSENTIAL DUTIES AND RESPONSIBILITIES may include the following. Other duties may be assigned.

 

Prepares Medicaid information by collecting attendance of eligible students needed for Medicaid billing purposes.

 

Oversees/trains for Medicaid Time Studies as required by Medicaid and collects data from Special Education staff.

 

Compiles Medicaid paperwork, reports and billings.

 

Tracks invoices and payments from Medicaid and communicates with Business Department about payment.

 

Under the direction of the Severe specialist - Sets-up, sends mailings, staffs and helps facilitate the district special education ESY summer school program.

 

Assists in Time Card closing and office ordering.

 

Audits attendance and billing batches for Medicaid billing.

 

Familiar with Medicaid terminology and processes related to school district.

 

Creates and maintains student files, records, and reports according to school, state and federal regulations.

 

Keeps up to date with current Medicaid requirements.

 

Answers incoming calls to provide information, take messages, or transfer calls.

 

Greets visitors and refers them to appropriate support staff.

 

Routes incoming and outgoing mail and correspondence.

 

Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings

 

Processes Mileage & other claims for staff.  Assists in Purchase Order submittals.  Tracks staff schedules and absences.

 

Schedules Hearing testing.  Maintains petty cash. Audits bank statements and makes deposits.

 

Performs all secretarial duties such as composing correspondence, memorandum, faxes and other printed materials; maintaining office filing system. Must have proficient typing, 10-key calculator, and computer skills.

 

Keeps inventory of Post High building and oversees the office machines.  Has basic knowledge of office machines and copiers.

 

SUPERVISORY RESPONSIBILITIES

Supervises part time Medicaid secretary and Time Study participants.

EDUCATION and/or EXPERIENCE

Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

 

CERTIFICATES, LICENSES, REGISTRATIONS

None

 

COMPUTER SKILLS

Proficient with computer applications for word processing, preparing spreadsheets, and entering data using specialized Medicaid software; must become familiar with student information systems to perform related tasks.

 

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

 

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
